1. Overview

At Library Caffe, we strive to deliver high-quality creative services — including film production, artist management, podcasting, photography, copywriting, and more. Because many of our services require scheduling, planning, and allocation of resources, we have structured this Cancellation & Refund Policy to ensure clarity and fairness to both clients and our team.

By engaging our services, you agree to the terms below.


2. Definitions

  • Client / You / Your — the person or organization engaging Library Caffe’s services.

  • Service / Project — the particular deliverable or package (e.g. shoot, podcast campaign, album recording, scriptwriting) agreed with you.

  • Agreement / Contract / Order — the written or digital document (proposal, quotation, order form, or email) specifying the scope, deliverables, timeline, and payment schedule.

  • Cancellation — the act of you (the client) terminating or rescinding the agreement before completion or delivery of full service.

  • Refund — return of monies paid to Library Caffe by you, in accordance with this policy.


3. Cancellation by Client

3.1 Before Project Start

  • If you (the client) cancel a project before any work has begun (i.e., before any deliverables, planning, or resource allocation), we will refund the full amount received, minus a nominal administrative fee (e.g. 5–10% of the project cost) to cover initial overhead.

3.2 After Project Commencement

  • Once work has begun (pre-production, planning, scheduling, hiring, location booking, script development, etc.), cancellations will incur a partial forfeiture of fees proportionate to the work done and commitments made.

  • Specifically:

    • Cancellation within 24 hours of project commencement: 50% of the total project cost is non-refundable (i.e. retained by Library Caffe)

    • Cancellation after 24 hours but before 50% completion: 70% non-refundable

    • Cancellation after 50% completion and before final delivery: 90% non-refundable

These percentages are illustrative — adapt them as per your internal cost and risk structure.

3.3 Special Cases & Exceptions

  • If the delay or cancellation is caused by Library Caffe’s inability to deliver (e.g. major scheduling conflict, resource failure), then you will receive a full refund of amounts paid or a mutually agreed substitution.

  • If you request a reschedule instead of cancellation, we will attempt to accommodate based on availability; any additional costs (crew, location, logistics) will be borne by you and must be paid in advance.


4. Refunds by Library Caffe

  • If we fail to deliver the agreed services within the timeline or as per the contract, you may request a refund.

  • We will evaluate the work done; if undelivered deliverables are due, we may offer partial or full refund depending on the stage of project and costs incurred.

  • Refunds are processed within 30 days of approval of the refund request.


5. How to Request Cancellation or Refund

  1. Send an email to [refunds@librarycaffe.com] (or whichever support email) with:

    • Your name, contact details

    • Project name / contract / order number

    • Reason for cancellation

    • Date by which you need confirmation

  2. Our team will acknowledge within 3 business days, evaluate your request, and inform you whether cancellation or refund is approved (and applicable amount).

  3. If refund approved, funds will be returned via the original payment method (bank transfer, UPI, credit card) within 30 days.


6. Non-Refundable Items

Some costs are non-refundable because they are sunk costs, and are excluded from refunds. These may include:

  • Booking fees for locations, equipment, crew, or vendors already reserved

  • Third-party licensing costs (music, stock assets, permit fees)

  • Travel & accommodation, if already incurred

  • Administrative costs incurred by Library Caffe in preparing project (e.g. research, pre-production, legal compliance)

We will always disclose such costs upfront in the proposal/contract.


7. Effect of Cancellation or Refund on Deliverables & Rights

  • Upon cancellation, unless mutually agreed otherwise, you forfeit rights to any unfinished work.

  • For completed deliverables already delivered to you (e.g. video, audio, images), copyright and usage rights remain governed by the contract.

  • If refund is granted but you retain deliverables, pricing and royalty obligations may be re-negotiated.


8. Disputes & Modifications

  • If you dispute a cancellation/fund request decision, you may raise it within 15 days of our decision. We will attempt resolution in good faith.

  • Library Caffe reserves the right to amend this Cancellation & Refund Policy from time to time. Any changes apply to new orders/contracts; existing contracts will be governed by the policy version active at time of signing.
